CaptureProof is the HIPAA-compliant app for medical chat, photos or video. It can be used for Provider-to-Provider and Provider-to-Patient communication.
With CaptureProof, Providers benefit from:

Go to captureproof.com on the web and click the blue 'Create Account' button. Then specify you are a Provider and click 'Start Free Trial'.

The required fields are as follows:
- First Name
- Last Name
- Email
- Mobile Number
- Degree (MD, RN)
- Specialty
- Office address and phone

You will receive an email to complete the signup process. Emails sometimes get stuck in your spam folder - be sure to check this folder if the email does not arrive promptly.

The first user in your CaptureProof Virtual Office becomes the Administrator - and will have the right to approve or deny any other user from entering their Virtual Office. Currently, you cannot change your office Admin.
First, check your spam folder. If you cannot find the email - go ahead and try to login at: https://web.captureproof.com/sign-in.

If you have not already activated your account by confirming your email, you will get the following notification: ‘You must confirm your account before using CaptureProof. Please check your inbox for a confirmation email.’ CaptureProof will automatically resend you an email with the links necessary to activate your account.

According to HIPAA (The Health Insurance Portability and Accountability Act) all Patient data (also known as PHI - Protected Health Information) needs to be transmitted and stored securely, this includes photos and videos. This means data must be encrypted in motion and at rest, most security controls on smartphones do not meet the requirements of HIPAA. A remote wipe of the phone loses all data, including PHI, loss of PHI requires appropriate reporting to HHS.

Long story short: If you lose your phone or your phone gets hacked: you will still be responsible for a security breach. You (or your organization) can be fined up to $50K per piece of Patient data lost (ie per photo or video)! Why risk it?
You can. However, with CaptureProof, unlike your email, photos and videos arrived organized in the patient’s chart - and can be analyzed, compared, and easily shared with your colleagues.

CaptureProof saves you time -- each image received is automatically organized chronologically into separate Patient profiles, allowing for instant analysis and comparison.
CaptureProof is all about sharing medical photos and videos. Currently, you can take a photo of these DICOM and x-ray images with your smartphone and send them via our system or upload the media directly through the web at captureproof.com.
For photos, the current formats we allow you to upload are: JPG, JPEG, and/or PNG.

For videos, the current formats we allow you to upload are: MOV, MPEG, MPG, MP4, M4V, AVI, 3GP, and/or WMV.

For reports, the current format we allow you to upload is: PDF
Once you have created an account, you are free to begin inviting Patients to share photos, video, and notes.

Telemedicine is traditionally synchronous - not unlike a video chat with your Patient. Scheduling can be challenging, as most doctors don’t run on time.

CaptureProof has decoupled medical care from time and location, acting as the visual voicemail for medicine. Providers and their Patients do not have to be available at the same time to communicate. We are the the visual voicemail of medicine. When photos, video or notes are shared, the recipient (Provider or Patient) receives a notification. The media waits in the recipient's account - so they can view it instantaneously, in a few minutes, a few hours, or even days later - at their convenience.
CaptureProof links into all Electronic Health Records (EHRs) and Electronic Medical Records (EMRs).

On the web, in the Patient’s profile, click the link symbol at the top right of the page. Click the ‘copy link’ button, then paste the unique and anonymized URL into the Patient’s EHR. The next time you want to review the Patient’s media, simply click this link to login and see their media. Anyone from your Virtual CaptureProof Office in can see this media, using their username and password to login.

A "media Rx" or "mRx" is a request from a Provider to a new or existing Patient, asking them to share just one, or a series of photos and/or video.
CaptureProof automatically offers to save a new or edited media Rx. You simply pick "save" Check out the "Create a new media Rx" tutorial for detailed steps.
On the Web at captureproof.com:

2. Click the "Media Rx" tab at the top of the page
3. Click on the Media Rx template you want to edit. Make any edits you would like.
4. Click "Save Template".
CaptureProof does not charge Patients, although some Doctors are offering this premium service to their Patients as a subscription.
CaptureProof is allowing a limited number of Doctors to benefit from the platform for a limited time without a cost. CaptureProof is then a subscription model payment, based on the number of users we can come up with a pricing plan for you.
A CaptureProof Virtual Office (VO) sets a standard of sharing permissions. Sharing a Virtual Office is great for doctors who work in the same brick-and-mortar office and share call. All Providers in a VO, by default, share all Patient profiles and media.

All members of the Virtual Office can search, find, collaborate, and share Patient media.
CaptureProof allows you to communicate with both Patients and other Health Care Providers (HCP) with photos, video, and notes. An entire team can follow an episode of care from start to finish. A HCP requests a Media Rx (mRx) from a Patient. The Patient responds with the requested photos, videos, and any notes. The HCP can then see and know what the patient is talking about. HCPs can even share Patient images with other Providers to collaborate and consult on Patient cases.
Yes. Once you are in the Patient’s Media Rx albums, tap on the "Add a note / Share with colleagues" box at the bottom of the screen to start composing the note. The "To" line tells you who is currently included on the note. To change the recipient/s, tap the "+" sign. Tap the square on the right side of the screen to either give "Access" or "No Access" to a recipient.

If you would like to add someone to this list, tap "+ Add Clinician" to select which Providers you would like to add to the note. Once you’ve selected all the Providers you want to include, tap the arrow at the top left of the screen - compose your message and tap ‘Send’.
Go to iPhone Settings (Gear) >> Notification Center >> go the CaptureProof app

Select how you would like the Notifications to appear on your iPhone - turn them ‘on’ to receive notifications or ‘off’ to stop getting notified.

When you first downloaded the CaptureProof iPhone app, you were told ‘This app would like to send you push notifications’ - If you tapped ‘OK’ then your Push Notifications are already active.
CaptureProof is an invite-only application, meaning that you are able to invite your Patients as you see fit.

Once your Patient is using CaptureProof, you must accept their request each time they want to share a new set of Captures with you.
CaptureProof is an asynchronous communication tool -- it is your visual voicemail. It is up to you how often you want to check the site and communicate with your Patients, but you will be notified via email and/or push notifications when they do share media or notes with you.

If they still cannot find their invitation, you can resend it. On the web, click on the Patient’s profile and then click ‘Edit Profile’. At the very bottom of the profile, click ‘Resend invitation’. Or simply have them signup at https://captureproof.com/start
There are two ways to share medical media with your Peers on CaptureProof:

  1. You, as a Provider, can invite other Providers into your Virtual CaptureProof Office staff. Once they’ve been added to your Virtual Office Staff, they have access to all of your Patients’ profiles and can collaborate on each other’s Patient photos and videos without needing a specific invite.

  2. You can also invite a Colleague to join CaptureProof and share Media Rxs (photos and videos) and/or entire patient charts.

On the PIN sign-in screen, tap: ‘Forgot your PIN?’. It will take you to the standard CaptureProof log-in screen, where you can use your password to log in.

You will automatically be directed to the PIN setup screen; enter your new 4-digit PIN twice to set a new PIN number.
Log in and tap the hand icon at the top left of your screen. Tap ‘Profile’ and then tap ‘Reset PIN’. First enter your old 4-digit PIN. You will then be prompted to add your new 4-digit PIN twice. The app will confirm the PIN has been successfully set. The next time you open the app it will ask you for your 4-digit PIN to log-in. Enter your new PIN.
If someone tries to access your account with the wrong 4-digit PIN 5 times the user will be redirected to your password and will not be able to continue to guess the PIN. As always, it is very important to keep passwords private and secure.

CaptureProof is considered telehealth, usually referred to as store-and-forward Depending on your practice location and state, certain telehealth communication is reimbursed.
Yes, before you license our technology you will need to sign a BAA with us. When you create an account with CaptureProof - you are asked to electronically sign a BAA with CaptureProof prior to logging in for the first time.
Each license includes unlimited Patients and unlimited photo and video storage.
If you need to upload existing photos/video, this can be done through captureproof.com on your desktop or mobile phone.

If you are using the iPhone app, (and you are a Provider) it won't let you upload photos from your photo album for HIPAA-related reasons.
Currently photos and video are saved for 7 years.
With our iPhone app or using the CaptureProof site on your mobile - if you are using a smartphone in an area that has wi-fi, you can join the wireless network and still use CaptureProof as normal.

For CaptureProof on the web, in order to access your account you are sent an authentication code, to your mobile phone.
An authentication code is a password sent to you via SMS. It is the second step to signing in on the CaptureProof website when accessing it via your desktop, laptop or phone.

This is a security feature of CaptureProof, and is our second layer of authentication to ensure that you and only you have access to your personal medical information, photos and video.
If you not want to enter an authentication code every time you sign into your CaptureProof account, you can designate your computer or device as a Trusted Device.

When you first login, you will have the option to check or uncheck a box which says, ‘Do not ask for authentication code again on this device’. If this box remains checked - you will not be asked to enter in your authentication code for the next 90 days.

If you change your mind and decide you do not want CaptureProof to recognize your device and be asked for authentication code each time you log in - simply reset your password and you will have the opportunity to uncheck the box mentioned above.
If you enter the incorrect authentication code (sent to your mobile phone) 5 times, your account will be disabled. This measure has been implemented to protect your account from hackers.
